IFA Administrator – LONDON OR BATTLE based

The Role

You will be providing administrative support to our advisors, paraplanners and management. Liaising directly with clients, providers and prospects, to provide exemplary customer service.

Primary duties:

· Preparing, issuing and processing client documentation

· Updating and maintaining client records on the CRM system (Salesforce) and Tresorit

· Maintaining excel files

· Document & letter/email drafting

· Interacting with staff, clients, product providers, platforms and prospects via email and phone

· Providing excellent customer service and support to the clients

· Answering inbound calls and handling correspondence

· Digital and physical filing / organisation – to comply with Data Protection & Data Retention Policies

· Printing, photocopying, scanning and post

· Undertaking outbound calls to qualify prospects who have contacted us to book initial meetings. (No cold calls. Training on subject matter provided)

· Managing and organising workload to ensure service standards are met

You will have previous Financial Advice services administrator experience, and salary will reflect such experience.

Training on our software, templates and providers will be provided.

Knowledge and experience of the following systems and applications is essential:

· MS Excel, Outlook & Word

Knowledge and experience of the following systems and platforms is desirable:

· Transact & Aviva

· Salesforce (CRM)

About You

Ideally you will have:

· Experience working in an IFA environment, or within the financial services industry

· Excellent MS office skills - Outlook, Word & Excel

· Experience in providing exceptional customer service

· Good telephone, email and communication skills

· Experience maintaining client records in a software system

· Ability to manage your time and organisational load

Full-time hours: 37.5 per week

· Hybrid – 1 day a week working from home possible

Ability to commute/relocate:

To either: London (SE1) or Battle (TN33) : reliably commute or plan to relocate before starting work
